TENANT MANAGEMENT SOLUTIONS LLC
PRIVACY POLICY
Last Updated: September 26, 2026
Tenant Management Solutions LLC (“TMS,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect information when you visit www.tenantmanagementsolutions.com (the “Site”), contact us, inquire about a rental property, use our “Find a Home” service, submit a rental application, or inquire about our brokerage, property-management, leasing, or property-owner advisory services.
By using the Site or providing information to TMS, you acknowledge the practices described in this Privacy Policy.
1. Information We Collect
We may collect information that you provide directly to us, including your name, email address, telephone number, mailing address, preferred method of contact, and information contained in communications you send to us.
If you use our Find a Home service or inquire about a rental property, we may also collect information about the type of housing you are seeking, including your preferred location, move-in date, rent range or budget, number of bedrooms, number of occupants, pet and parking needs, accessibility needs, and other housing preferences you choose to provide.
If you apply for a rental property, TMS or a third-party application or screening provider may collect additional information reasonably necessary to process your application. Depending on the property and application process, this may include identification information, current and previous addresses, employment and income information, rental history, references, supporting documentation, and information used for legally permitted credit, background, or tenant screening.
If you contact TMS regarding brokerage, property-management, leasing, or owner advisory services, we may collect information about you, your property, your ownership or management interests, the services you are seeking, and other information you voluntarily provide.
2. Information Collected Automatically
When you visit the Site, TMS and service providers that support the Site may automatically collect certain technical information, such as your Internet Protocol (IP) address, browser type, device type, operating system, pages viewed, referring website, approximate location derived from your IP address, dates and times of visits, and information about how you interact with the Site.
This information may be collected through cookies, server logs, analytics tools, pixels, tags, and similar technologies.
3. How We Use Information
We may use information we collect to operate our business and provide requested services, including to:
respond to questions and inquiries;
communicate with prospective tenants, applicants, tenants, property owners, and clients;
identify rental properties that may match a prospective renter's stated preferences;
provide information about available or upcoming rental properties;
schedule property tours or appointments;
process or facilitate rental applications;
provide real-estate brokerage, leasing, and property-management services;
provide property-owner advisory services;
manage properties and communicate regarding properties managed by TMS;
maintain appropriate business and transaction records;
operate, maintain, secure, and improve the Site;
understand how visitors use the Site;
detect or prevent fraud, misuse, and security incidents;
comply with legal, regulatory, licensing, and recordkeeping requirements;
establish, exercise, or defend legal rights; and
carry out other purposes disclosed to you when information is collected or with your consent.
4. Find a Home and Rental Inquiries
When you provide information through our Find a Home service or another rental inquiry form, TMS may use the information you provide to identify available or future rental opportunities that may correspond with your stated preferences.
TMS may contact you using the contact information you provide regarding potentially relevant properties.
Submitting a Find a Home form or rental inquiry is not a rental application, does not reserve a property, does not guarantee that a matching property will become available, and does not guarantee approval for any rental property.
5. How We May Share Information
TMS does not sell your personal information in exchange for money.
We may disclose personal information when reasonably necessary to provide our services or operate our business.
When TMS acts as a broker, leasing agent, or property manager, information concerning a rental inquiry or application may be shared with the applicable property owner or the owner's authorized representatives when appropriate.
We may also provide information to third-party service providers that perform services for us or assist with our operations, such as website hosting, property-management software, email and communications, rental applications, tenant screening, payment processing, document storage, electronic signatures, scheduling, analytics, information technology, and security.
We may disclose information to attorneys, accountants, insurers, contractors, consultants, and other professional advisors when reasonably necessary.
We may also disclose information when required or reasonably believed necessary to comply with applicable law, respond to legal process or governmental requests, protect our rights or property, investigate suspected fraud or unlawful conduct, enforce agreements, or protect the safety and rights of TMS, our clients, tenants, applicants, users, or others.
Information may also be transferred in connection with a merger, acquisition, financing, restructuring, sale of assets, transfer of management, or similar business transaction.
6. Rental Applications and Screening
Rental applications may require information that is more sensitive than information collected through an ordinary Site inquiry.
When possible, sensitive application information should be submitted through the application or screening system designated by TMS rather than through a general contact form or the Find a Home questionnaire.
Third-party application, credit, background, or tenant-screening providers may collect information directly from you. Information collected directly by those providers may be governed by their own privacy policies and terms.
7. Fair Housing
TMS is committed to providing real-estate services in accordance with applicable federal, New York State, and local fair-housing laws.
Information provided to TMS concerning housing needs and preferences will not be used by TMS to unlawfully discriminate on the basis of a characteristic protected by applicable law.
You should not submit unnecessary sensitive personal information through general inquiry forms.
The NY DoS Fair Housing website can be found at https://dos.ny.gov/fair-housing.
8. Cookies and Similar Technologies
The Site may use cookies and similar technologies to provide Site functionality, improve performance, remember preferences, understand how visitors use the Site, maintain security, and support other website functions.
Some cookies or similar technologies may be provided by third parties that supply services or features used by the Site.
Most web browsers permit users to control or delete cookies through browser settings. Blocking certain cookies may affect the operation or functionality of the Site.
9. Analytics and Third-Party Services
TMS may use website analytics and other third-party technologies to help operate the Site and understand how visitors interact with it.
The Site may also contain or integrate third-party services such as maps, property-management systems, application services, scheduling tools, payment services, or other functionality.
Third-party providers may collect or receive information in accordance with their own privacy policies. TMS does not control the privacy practices of independent third parties.
10. Third-Party Websites
The Site may contain links to websites or services operated by third parties.
TMS is not responsible for the privacy practices, security, content, or operation of websites and services that we do not control. We encourage you to review the privacy policies of third-party websites before providing personal information to them.
11. Data Security
TMS uses reasonable administrative, technical, and physical safeguards appropriate to the nature of the information we maintain and our operations.
However, no Internet transmission, electronic communication, website, or data-storage system can be guaranteed to be completely secure. You should use appropriate care when transmitting sensitive information electronically.
12. Data Retention
We may retain personal information for as long as reasonably necessary for the purposes for which it was collected and for legitimate business purposes, including providing services, maintaining transaction and property-management records, complying with legal and regulatory obligations, resolving disputes, and establishing or defending legal rights.
Retention periods may differ depending on the type of information and the nature of our relationship with you.
When information is no longer reasonably necessary, TMS may delete, destroy, anonymize, or otherwise dispose of it consistent with applicable law and our record-retention practices.
13. Your Choices
You are not required to provide personal information through the Site. However, declining to provide certain information may prevent TMS from responding to a request, identifying appropriate rental opportunities, processing an application, or providing a requested service.
You may ask TMS to stop sending nonessential promotional or rental-opportunity communications at any time.
Communications reasonably necessary in connection with an existing rental inquiry, application, tenancy, property, transaction, or client relationship may continue as appropriate.
14. Access, Correction, and Deletion Requests
You may contact TMS if you believe information you provided to us is inaccurate or if you would like to request access to, correction of, or deletion of your personal information.
We will consider and respond to requests as required by applicable law and may need to verify your identity before fulfilling a request.
Certain information may need to be retained notwithstanding a request for deletion because of legal, regulatory, contractual, accounting, recordkeeping, fraud-prevention, or other legitimate business requirements.
15. Email, Telephone, and Text Communications
If you provide an email address or telephone number when requesting information or services, TMS may use that information to respond to you and communicate regarding your inquiry, rental search, application, tenancy, property, transaction, or client relationship.
Providing a telephone number through a general Site form does not constitute consent to receive automated or marketing text messages where separate consent is required by law.
If TMS offers marketing text messages or other communications requiring specific consent, any required consent will be requested separately.
16. Children's Privacy
The Site is intended for persons seeking housing, real-estate, property-management, or property-owner services and is not directed to children under 13.
TMS does not knowingly solicit personal information through the Site from children under 13. If we learn that such information has been submitted without appropriate authorization, we will take reasonable steps to address it as required by applicable law.
17. Changes to This Privacy Policy
TMS may update this Privacy Policy from time to time to reflect changes in our services, technology, business practices, or legal requirements.
When this Privacy Policy is revised, the “Last Updated” date at the top of the Policy will be updated. We will provide any additional notice required by applicable law.
